Vannie Paradis Design Studio

A client experience as considered as the interiors. We translated the studio’s distinctive teal-and-gold identity into a connected HoneyBook system — supporting client communication, onboarding, scheduling, payments, and project management within one recognizable experience.

Before & After

The brand was elevated. The backend needed to match.

Vannie Paradis had already established a recognizable luxury design brand, but the administrative experience supporting it was less consistent. The goal was to extend the studio’s brand standards, service expectations, and design process into the systems supporting every project.

Where They Started

A polished brand supported by a manual process.

  • Communication and project information managed across separate channels
  • Proposals, questionnaires, and client documents required repeated preparation
  • Follow-ups, reminders, and internal next steps depended on manual tracking
  • Different client meetings required additional scheduling coordination
  • Client-facing materials didn’t always feel like one connected experience
What We Delivered

A system designed to feel unmistakably Vannie Paradis.

  • A 15-stage pipeline reflecting the full-service interior design process
  • A coordinated library of 12 client-facing Smart Files
  • A custom HoneyBook brand theme and organized project workspace
  • Welcome materials and questionnaires preparing clients for the design process
  • Separate schedulers for consultations, check-ins, and design presentations
  • Email templates for appointments, proposals, presentations, and follow-up
  • Automations connecting communication, tasks, payments, and stage movement
  • System documentation and a guided handoff
The Workflow Strategy

Build one recognizable system around the complete client journey.

01

Map before building

We mapped the full client lifecycle before developing individual templates — identifying what clients needed to receive, understand, submit, schedule, approve, or pay at each stage.

02

Apply the brand everywhere

The Vannie Paradis identity was applied across the system through consistent color, typography, imagery, tone, and document structure — from the project workspace to the Welcome Guide, questionnaire, and scheduling experience.

03

Automate the routine, keep the personal

Automation manages routine communication and internal next steps, while consultations, design decisions, presentations, and relationship-focused moments remain personal.

01

A branded Smart File for every key interaction.

A coordinated library of 12 HoneyBook Smart Files — investment guides, proposals, welcome materials, questionnaires, approvals, invoices, and closeout resources — supports the client journey without rebuilding documents for every project. Consistent imagery, color, and typography make every file feel unmistakably Vannie Paradis.

02

Onboarding that feels personal — not administrative.

After booking, clients receive a branded Welcome Guide introducing the studio’s approach, expectations, and next steps. The Lifestyle Questionnaire then gathers the personal, functional, aesthetic, and communication details needed to shape both the design and the working relationship.

03

The right meeting at the right point in the project.

Separate schedulers were configured for introduction calls, virtual and in-person design consultations, check-ins, and design presentations — each with its own length, availability, booking instructions, confirmations, and reminders, so the right conversation happens without the back-and-forth.

04

One organized workspace for every active project.

Each project is managed inside a centralized HoneyBook workspace where the studio can monitor activity, communication, files, scheduling, invoices, payments, notes, and internal details — one clear view of the client relationship as the project moves through its stages.

The Outcome

A client experience as considered as the interiors.

Vannie Paradis gained more than a library of branded documents — one connected system supporting consistent preparation, scheduling, communication, payments, project management, and follow-up. The backend now reflects the quality of the brand while personal design guidance stays at the center.
